When someone asks

Renewal season

The broker emails in May, you renew, and new certificates land in your inbox in June. That is the part everybody remembers. The part that catches people is what happens to the copies already sitting on other people’s systems.

What changes on 30 June

  • Public liability — renews, and the certificate gets a new expiry date.
  • Workers compensation — renews, on a policy year insurers align to 30 June.
  • Professional indemnity — if you carry it, often renews on its own date instead.
  • Every certificate you sent out during the year — now shows an expiry that has passed.

Who asks again, and when

Prequalification portals re-check expiry dates on a schedule, so the first you hear of it is often an email saying your status has lapsed. A client who asked in March will ask again in July, for the same document with a different date on it.

What we do about it

We hold the current certificate and the date it was last confirmed, so when the second request arrives you are sending this year’s document rather than looking for it.

The next request asks for a different set of the same documents, and the ones you already sent have expired.
